Location: Remote (Chicago area)
While this is a remote role, we ask that you be based in the Chicago area and available to work onsite at our headquarters when needed for backup coverage.
Role Overview
We are looking for a dynamic and proactive Executive Assistant to support a group of C-Level Executives. In this role, you'll be a key partner, providing support with various business tasks and decision-making, while managing confidential matters with a high level of professionalism. This position requires someone who is intuitive, reliable, and able to execute tasks independently. You'll report directly to the Manager of Administrative Services.
What You'll Do
Provide high-level support to executives by managing tasks that require their attention.
Serve as a liaison for important external contacts, handling each situation with discretion and judgment.
Organize and manage meetings and conferences for staff, ensuring everything runs smoothly.
Review outgoing correspondence for executive approval, ensuring alignment with policies and viewpoints.
Relay action requests to appropriate team members when executives are unavailable.
Interpret requests and take appropriate actions, determining if urgent matters need to be escalated to executives.
Prepare reports that highlight key insights and recommendations for improving operations and administration.
Assist in preparing and gathering operational reports, including budget expenditures and performance data.
Represent executives at meetings, expressing their viewpoints when needed.
Support headquarters as needed, ensuring smooth operations.
Handle additional tasks as required to ensure executive efficiency.
